A national health insurance provider with millions of managed care members was looking for a solution to add automation to their high volume, quick turnaround direct mail communications. With dozens of projects each day that have quantities from a few to hundreds of thousands of pieces and turn-times anywhere from 1-5 days the manual project management time required was significant.
They needed a software-based solution that could interface with their internal software tools to create efficiency while maintaining accuracy. It was also their desire to include in this process additional production and reporting capabilities to improve the speed of information while reducing the time required to access it.
Our development team worked with the client to understand and define all the variables required to transfer and validate job specifications and related artwork. From there, they created a custom web-based application that would ingest these projects, display them on a dashboard and integrate our resources to track the progress though the production cycle.
Functionality was created to allow the client to pause or cancel projects through the dashboard and resubmit new art or direction as needed. Project reports were generated from the production data that include detailed activity logs providing an audit trail with time and date completion information to verify it reached the mail stream as required.
